Almost nobody in this industry will tell you what drives the number. Here is what moves it, and how we quote — so you can sanity-check any proposal, including ours.
Seven things that decide what you pay
Ask any provider where you sit on each of these. The answers explain the price far better than a headline figure does.
1. On-site cover
Remote-only support is the cheapest way to buy IT. Guaranteed on-site attendance costs more, and distance matters.
2. Security tooling included
Endpoint protection, email filtering, MFA management and training can be £15–£30 per user on their own. Check whether they're in or out.
3. Age of the estate
Six-year-old laptops and an unsupported server generate more tickets. Providers price that in, whether or not they say so.
4. Servers vs cloud
An on-premises server estate costs more to maintain than a cloud-first business of the same headcount.
5. Hours of cover
Weekday business hours is standard. Extended, weekend or 24/7 cover carries a real cost and should be priced separately.
6. Compliance requirements
Cyber Essentials, ISO alignment, client due diligence questionnaires and regulated data all add ongoing work.
7. Number of sites
Three sites of 15 people cost more to support than one site of 45 — travel, separate networks and separate risk.

Ticket volume. If raising a ticket costs you money, your team stops reporting problems and small faults become outages.

Project work — migrations, CCTV and access control installations, site moves — is quoted separately against an agreed scope. Hardware and third-party licensing are passed through at cost plus a stated margin.
